1. Scope and responsible officer

This policy describes the practices that apply to nordcom.ca, its contact form and messages sent to Nordcom through the website. It complements Nordcom’s internal personal-information governance policies and practices.

The published title of the person responsible for personal information is Privacy Officer. For a question, access or correction request, withdrawal of consent or complaint, email info@nordcom.ca or use the mailing address shown in the summary.

2. Information collected and collection methods

When you use the form, Nordcom collects your name and email address, along with the message you choose to submit. Company name, phone number and area of interest are optional.

Limited technical information may also be processed to deliver and protect the site: IP address, date and time, requested page, request headers and security signals. Cloudflare may set a strictly necessary cookie, including __cf_bm, to detect automated requests and protect the service.

The site does not request financial or medical information, passwords or access keys. Do not include highly sensitive information in the form.

3. Purposes, choices and consent

Information submitted is used to receive, understand, route and respond to your request, provide the requested follow-up, protect the form from abuse and meet applicable legal obligations.

The consent request below the form is separate and limited to this purpose. You may leave optional fields blank or contact Nordcom by phone or email instead. You may withdraw consent at any time; withdrawal applies going forward and may prevent Nordcom from continuing to process a request.

The site does not use advertising cookies, marketing analytics, profiling or automated decision-making. If such a feature is added, it must be explained and, where consent is required, remain off until you choose to activate it.

4. Access, disclosure and processing outside Québec

Access is limited to team members who need to receive or process the request. Information may also be processed by providers required to operate the site, including:

  • Cloudflare, for hosting, delivery, network protection and anti-abuse controls;
  • SMTP2GO, to deliver form content to Nordcom’s designated mailbox;
  • email and IT service providers used to receive, secure and retain correspondence.

These providers may operate infrastructure outside Québec. Any transfer outside Québec must be assessed and governed in accordance with applicable requirements. Nordcom may also disclose information where permitted or required by law.

5. Retention, disposal and security

The site does not retain submissions in a website database. A valid request is delivered to Nordcom as an email and may then become part of a prospect or client record when follow-up begins.

Correspondence is kept only as long as needed for the purposes described, the business relationship and applicable legal obligations. It is then securely destroyed under Nordcom’s retention schedule. You may ask the Privacy Officer which period applies to your file.

Nordcom applies safeguards proportionate to the information involved, including encryption in transit, access controls, request validation, bot protection, no caching of form responses and restrictive security headers. No transmission method can provide absolute security.

6. Your rights and complaint process

Subject to applicable legal rules, you may request:

  • access to personal information Nordcom holds about you;
  • correction or updating of that information;
  • withdrawal of consent going forward;
  • computerized information in a structured, commonly used technological format where the portability right applies;
  • review of a privacy concern or complaint.

Send your request to the Privacy Officer at info@nordcom.ca. Nordcom may verify your identity before responding and handles requests within the time required by law.

7. Minors, external links and changes

The site is intended for organizations and is not designed to knowingly collect information from anyone under 14. External sites linked from nordcom.ca apply their own privacy practices.

Nordcom will post material changes on this page and update the date above. Where required by law, notice will also be provided through a means appropriate to reach the people concerned.
